Utilizing KPIs in Blackbaud CRM™

Key Performance Indicators (KPIs) are essential metrics that help track the effectiveness of your organization’s activities. In my previous post, we discussed setting up some standard KPIs in Blackbaud CRM™. Once you create these KPIs, Blackbaud CRM ™ offers various areas where you can view and monitor them to ensure your organization stays on track with its goals. This post will guide you through the specific locations within Blackbaud CRM where you can view KPIs, focusing on the functional analysis area, fundraising development workspace, and direct marketing efforts.

Analysis Functional Area in Blackbaud CRM


There are multiple areas where you can view KPIs within the Analysis functional area of Blackbaud CRM ™: Dashboards, Information Library, and Ad Hoc Queries. 


Dashboards

To set up or view KPI Dashboards, navigate to Analysis>KPI Dashboard. From here, click the button for Customize Dashboard to add different KPI instances to your dashboard. You can also organize your dashboard using pages and tabs. This allows you to create a comprehensive, at-a-glance view of your most important KPIs.


Blackbaud CRM

Information Library

The Information Library within the analysis functional area of Blackbaud CRM™ houses a full list of the KPIs that you have created. Navigating to the KPIs tab allows you to view these KPI instances, organize them into folders, edit them, or update the KPI value.


Queries

KPIs can be queried in several different ways using the out-of-the-box query tool within the Information Library. 


Use the KPI Instance source view to build a query on any of your existing KPI instances. For example, you could build a query to show you all KPIs that are at or above 25% of goal. 


KPIs are also available as nodes within constituent queries. This will allow you to query KPIs that are attached to specific constituents, for example, those marked as fundraisers within Blackbaud CRM™. 



Fundraising Development Workspace in Blackbaud CRM


The Fundraising Development Workspace in Blackbaud CRM™ is designed to streamline your fundraising efforts and provide immediate insights into your performance.


The Fundraising Development Workspace can be found in the Fundraising functional area. Under the KPIs tab, users can view key performance indicators pertinent to their role. 


Direct Marketing Efforts in Blackbaud CRM


Direct Marketing Efforts in Blackbaud CRM™ helps organizations monitor the effectiveness of their outreach and engagement efforts. By using KPIs on Direct Marketing Efforts, you can further enhance your organization’s ability to monitor your progress toward goals set for the marketing effort. This includes tracking metrics like average gift amount, response rate, and return on investment (ROI).


Within a Direct Marketing Effort record, you can view KPIs on the Effort Settings tab, and the KPIs sub-tab. The KPIs shown on this tab are dictated by the configuration settings selected on the KPIs tab of the direct marketing communication template. When you create a marketing effort, the program automatically creates an instance of each selected KPI from the communication template. Each time you refresh the marketing effort, the program automatically updates the associated KPI values.
